Digital Continuing Education Applications and Evaluations

A look into how the HWapps Learning Management helped digitize the process of collecting CME/CNE applications from hundreds of employees across the New York City Health + Hospitals network.

The Challenge

In order to offer CME/CNE/CEU credits to participating employees, Health + Hospitals staff were forced to manually create and distribute paper training evaluation forms, then catalog responses into spreadsheets and conduct manual statistical analyses. This created numerous hours of additional work, and weeks of unnecessary delays in processing credit applications.

The Solution

HWapps built a custom interface in the OCH Learning Management System to allow Health + Hospitals staff to quickly create and distribute the requisite training evaluations- all completed electronically. Participants’ submissions would be automatically logged, tabulated, analyzed, and staff could export the necessary reports at the click of a button.

The Client

OneCity Health is the NYC Health + Hospitals-sponsored Performing Provider System (PPS), formed under the auspices of the New York State Delivery System Reform Incentive Payment (DSRIP) program. Comprising hundreds of healthcare providers, community-based organizations, and health systems, OneCity Health is the largest PPS in New York State.

Project Overview

HWapps team members met with training and HR administrators at OCH seeking to identify areas where staff burden could be alleviated through the implementation of digital solutions. Seeing how much time and manual effort was applied to collecting and processing CE evaluations, HWapps proposed implementing a fully automated Accreditation Dashboard. This dashboard allowed OCH staff to quickly and easily create the necessary evaluations through a templated form. These evaluations would then be automatically emailed to participants in credit-bearing courses, and responses would be automatically tabulated into the reports that OCH were required to submit to the accreditation board. Additionally, this dashboard allowed OCH staff to post recordings of the trainings to their Learning Management System and open the accreditation applications to participants who were unable to attend the live webinars.
